Executive Assistant to the Dean
Provide assistance on matters that are sensitive or complex in nature with a high level of analytical skill, independence and initiative in execution and implementation.
Function as gatekeeper to the Dean's office, and the face of the School. Maintain critical confidentiality in all matters while providing information with professionalism, diplomacy, and political acumen.
Consult with the Dean and Senior Leadership Team, assessing needs in order to prioritize issues according to urgency and allocate time accordingly.
Develop and implement efficient and effective systems for managing information and communications to ensure accurate and timely responses. Provide both final and draft communications with well-formed thinking and writing. Create and implement protocols for consistent school-wide communications.
Provide on-going support for the UC Davis Madrid campus proposal, including preparing Power Point presentations and background support, and communicating with Madrid partners for successful collaborations.
Act as Lead for all School major events, including Graduation ceremony, Dean's faculty retreat, Distinguished Educational Thinkers Speaker Series and others. Provide direction, advice, and support for all staff event needs.
Manage Dean's office and events budgets, reviewing expenditures and submitting budgets for the following academic year.
Manage Dean and Associate Dean's calendars. Understand school-wide priorities, as well as constantly changing calendar challenges, maximizing the Dean's time for both productivity and efficiency.
Organize Dean's travel, providing options for travel and lodging, meeting locations and meals. Process MyTravel reports.
Provide support for the Dean's office ad hoc committees.
Communicate on behalf of the Dean with campus colleagues, administration, and outside constituencies both nationally and internationally.
